How to Connect Gjestin to Microsoft 365

Most Norwegian businesses use Microsoft 365. With Gjestin Advanced, you can connect the two systems so the employee list is always up to date – automatically. You can also use Power Automate to build your own workflows around visitor registration, without writing a single line of code.

What do you get with the Microsoft 365 integration?

The integration between Gjestin and Microsoft 365 gives you two main parts:

• Azure Active Directory sync: The employee list in Gjestin is automatically kept up to date based on users in your Azure AD. New employees are added automatically; employees who leave are removed automatically. You never need to maintain two separate lists.
• Power Automate integration: Guest check-ins and check-outs can be used as triggers in Power Automate flows. You can automatically send Teams messages, book meeting rooms, log to SharePoint, send email alerts and much more.

Power Automate: workflow examples

Power Automate (formerly Microsoft Flow) is Microsoft's tool for automating workflows between different systems. With Gjestin as a trigger, you can build flows that save time and improve the experience for guests and employees.

Teams notification on check-in

The most common flow: when a guest checks in and selects an employee, the system automatically sends a Teams message to the employee. The message includes the guest's name, company and time. Employees who have the Teams app on their phone get an immediate push notification – without checking SMS.

Room booking on guest arrival

If you use Microsoft Bookings or a resource calendar for meeting rooms, you can create a flow that automatically books a meeting room when a specific guest checks in. Combined with an email confirmation to both parties, you get a seamless meeting experience.

SharePoint log for auditing

For businesses with visitor logging requirements (e.g. critical infrastructure or regulated industries) you can create a flow that writes every visit to a SharePoint list. The log is searchable, exportable and can be set up with access control for auditing.

Automatic email notification to host

As a supplement to SMS, you can send an email to the employee via the Outlook connector. The email can include the guest's contact details, check-in details and a direct link to the visitor log. Useful for businesses where employees don't always have their phone at hand.

Benefits of automatic employee sync

Without integration, someone at the company has to manually update the employee list in Gjestin every time there's a change – new hires, people leaving, name changes. In a mid-sized company with normal staff turnover, this can easily become a source of errors and frustration.

With Azure AD sync, this happens automatically. Even more importantly: if an employee leaves and their account is deactivated in Microsoft 365, they're automatically removed from the guest selection menu in Gjestin. This prevents guests from notifying people who no longer work at the company – a problem many discover too late.
