2. What Information We Collect
Gjestin collects the following personal data about visitors who check in via the system:
- Name
- Phone number (for SMS notifications)
- Email address (optional)
- Which employee the visitor is meeting
- Check-in and check-out time
- Profile photo (optional)
For customers and users of the admin panel, we collect contact information and payment details.
3. Purpose and Legal Basis
The data is processed for the following purposes:
- Check-in and notification: Carrying out visitor registration and sending SMS notifications to employees. Legal basis: contract.
- Safety and HSE: Keeping track of who is in the building in the event of an evacuation. Legal basis: legitimate interest.
- Invoicing: Processing payment and issuing invoices. Legal basis: contract.
4. Retention Period
Visitor data is automatically deleted after 90 days, unless the customer has set a shorter period. Invoice information is retained for 5 years in accordance with the Norwegian Bookkeeping Act.
5. Sharing with Third Parties
We do not share personal data with third parties, except for:
- SMS provider: For sending notification messages
- Payment processor: For secure processing of card payments
- Microsoft 365: When integration is enabled (only by the customer's choice)
All third parties are subject to data processing agreements and process data in accordance with GDPR.
6. Your Rights
You have the right to:
- Access: Request a copy of the information we hold about you
- Rectification: Correct inaccurate information
- Erasure: Request that your information be deleted ("the right to be forgotten")
- Restriction: Request that processing be restricted
- Data portability: Receive your data in a machine-readable format
- Complaint: Complain to the Norwegian Data Protection Authority (Datatilsynet) at datatilsynet.no

Gjestin only uses technically necessary cookies to operate the service. We do not use tracking or marketing cookies.
