A digital visitor system replaces the traditional paper-based visitor logbook in reception. Visitors check in via an iPad kiosk or a QR code on their own mobile phone. The system records the arrival time, who the guest is visiting and any contact information – and automatically notifies the employee by SMS. You get a full real-time overview of who is in the building, which is valuable both day-to-day and during an evacuation.
Yes, Gjestin is primarily designed for iPad and runs in a dedicated kiosk mode where guests cannot navigate to other apps. You mount the tablet in reception, and guests operate it themselves. You can also enable QR code check-in so that guests use their own mobile phone – no shared device required. Both methods can run in parallel.
Yes. Gjestin automatically deletes visitor data after 90 days – the period can be set shorter if desired. All data is stored on servers in Norway. We provide a data processing agreement to all customers, and the system is designed to meet the GDPR requirements relating to visitor registration: obtaining consent, limited retention periods and the right to erasure.
Yes, the Advanced plan includes Microsoft 365 integration. Employees are automatically synced from Azure Active Directory, so the list is always up to date without manual maintenance. You can also use Power Automate to build your own workflows – for example, automatically creating a Teams meeting when a guest checks in.
The Advanced plan has a dedicated evacuation feature that shows a complete list of everyone checked in to the building at that moment. The list is available directly in the admin panel and can be used by the health & safety officer to make sure everyone is accounted for. The feature also works offline in the mobile browser.
Yes. In the Advanced plan, you can add your own health & safety rules and/or a non-disclosure agreement (NDA) that the guest must read and accept at the kiosk before check-in is completed. A copy of the text is stored together with the approval, so the agreement remains legally valid even if you update the text later. An overview of all signatures is available in the admin panel.
